The Medical Office Assistant 3 (MOA3) provides advanced medical office clerical support. Performs duties requiring high-level problem solving and critical thinking. Provides training and mentoring to other staff members.
Accountabilities
1. Performs high level clerical duties: advanced registration, grant program qualifications and complex medical insurance authorizations and billings.
2. Assists with clinic billing stats and work queues.
3. Supervises front office workflow and assists lead staff with monitoring clinic work flow and operations issues. Makes performance improvement recommendations.
4. Assists with orientation of new staff and staff evaluations.
5. Creates and maintains provider schedules.
6. Answers incoming calls. Assesses each caller's urgency and priority and either provides information, takes messages or forwards to the appropriate party.
7. Directs patient check in. Assess patient’s requests and alerts or summons appropriate healthcare team member.
8. Creates new medical record numbers, completes simple registration and insurance verification.
9. Receives priority appointment requests for hospital discharge and emergency department follow-up, obtains necessary authorizations and makes appointments. Contacts patients with appointment information by phone and by mailing a computer generated letter.
10. Processes provider’s orders upon disposition, obtaining necessary authorizations, making appointments and informing patients of pre-testing instructions.
11. Receives referrals from other clinics, hospitals or outside facilities. Enters information as necessary into the computer and forwards it to the specialty or PCP clinic for approval.
12. Sends out no show letters and appointment letters.
13. Maintains work area in a neat and organized manner. Provides an environment conducive to safety for patients, visitors and staff.
14. Following established limits and guidelines; maintains an adequate inventory of office supplies. Orders and stocks supplies as necessary.
15. Follows regulatory guidelines/standards.
16. Schedules appointments for pre-op testing, obtains referrals/authorizations prior to surgery scheduling.
17. Processes provider’s orders for in-patient or out-patient procedures and/or surgeries.
18. Communicates with in-patient departments and physician’s private practice scheduler. Acts as a liaison as needed between hospital surgical services departments and physician private offices.
19. Performs other job-related duties as assigned.
